Just read the blog about the fiasco last month...sounds like an organisational nightmare...though good to hear that they are still persisting with it. 
When LMP had trouble with guys booking and no-showing, they only took phone bookings on the day. There are a few advantages to this system:
1. A lot of guys don't know for definite if they can attend until the day.
2. It gives everyone a fair crack at booking if phones open at a certain time on the morning of the parties.
3. You're more likely to get serious committed punters booking on the day, less chance to develop 'cold feet'
4. Saves a lot of faffing administering the bookings weeks in advance.
Just a thought! 
BTW, are you still helping out with the organisation of these parties? 
No never was helping out. But what I did do was when Sara asked about them gave her as much info as I could from the parties I used to attend in London
